Privacy Policy
Effective September 29, 2026
Agendic is a product of Orchestrator AI Ltd., a company based in Alberta, Canada. This policy explains what information Agendic handles, why, and the choices you have. If anything here is unclear, write to info@orchestrator.ca.
What Agendic does
Agendic prepares an agenda for each of your meetings. It reads the sources you connect, drafts an agenda, and shows it to you. Nothing is sent to the people in your meeting until you approve it.
Information we handle
Your account
When you sign in with Google we receive your name, your email address and your profile picture. We keep a record of the date you first signed in.
Sources you connect
Agendic reads only the sources you connect, and only to prepare your agendas.
- Google Calendar. Your upcoming events: titles, descriptions, times, meeting links, and the names and email addresses of the people invited. If you turn the option on in Settings, Agendic also adds an agenda you approved to the event's description.
- Gmail. Messages to or from the people in a meeting, from a recent period. We keep the subject, a short excerpt and a link, not the whole message. Messages you forward to your notes address, or label for Agendic, are kept in full, because you sent them to be read. Agendic also sends email from your account: the agendas you approve, and alerts addressed to you.
- Google Drive. The titles and links of files that match a meeting, with a short excerpt.
- Slack. Messages that match a meeting, with a short excerpt and a link.
- Jira. Issues that match a meeting, with a short excerpt and a link.
- Calendly. Your bookings, including the name and email address of the person who booked.
To reach each source we store an access credential. Credentials are encrypted before they are stored.
What you create
Agenda drafts and the versions you send, your edits, the guidance you give for a meeting, meeting outcomes, notes, and your settings, such as the name shown on your emails and your time zone.
Technical records
Our servers keep logs of requests and errors, which can include your email address. Logs are kept for 30 days.
Your browser
Agendic keeps you signed in using storage in your browser, and stores one marker there so the home page can take you straight to your Inbox. We use no advertising cookies and no analytics. Our public pages load their typeface from Google Fonts, so your browser contacts Google to fetch it.
How we use it
- To show you your meetings and prepare agendas for them.
- To send the agendas you approve, from your own email account.
- To send you alerts and a daily summary.
- To keep Agendic secure and working, and to fix problems.
We do not sell your information. We do not use it for advertising. We do not use your content to train AI models.
How agendas are drafted
Drafts are written by Claude, an AI model made by Anthropic, which we run through Google Cloud. To write a draft, Agendic sends the model the details of the meeting and the excerpts it gathered for it. That content is not used to train the model.
A draft can contain mistakes. You review every draft, and only you can send it.
Information from Google
Agendic's use and transfer of information received from Google APIs to any other app will adhere to the Google API Services User Data Policy, including the Limited Use requirements. In particular:
- We use information from Google only to provide and improve the features you see in Agendic.
- We do not transfer it to others, except to the providers that run Agendic for us, where the law requires it, or as part of a merger or sale of the business, with notice to you.
- We do not use it for advertising.
- Our staff do not read it, unless you ask us for help and agree, it is needed for security, or the law requires it.
Who receives information
- The people in your meeting receive the agendas you approve.
- Google Cloud hosts Agendic, stores its data and runs the AI model. Firebase, which is part of Google, handles sign-in.
- The sources you connect receive requests made on your behalf.
- Authorities, where the law requires it.
Nobody else receives your information.
Where information is kept
Agendic's database is in Canada. Its servers and sign-in records are in the United States, and requests to the AI model may be processed in other countries where Google operates. Information handled outside Canada is subject to the laws of those countries, including lawful access by their authorities. To ask about our use of service providers outside Canada, write to info@orchestrator.ca.
How long we keep it
We keep your information for as long as you have an account. Disconnecting a source in Settings deletes the access Agendic holds for it. You can also remove Agendic's access from your Google Account at any time, at myaccount.google.com/permissions.
To delete your account and everything stored with it, write to info@orchestrator.ca from the address you sign in with. We will confirm when it is done, within 30 days.
Your choices
You can ask us for a copy of the information we hold about you, ask us to correct it, or ask us to delete it. Write to info@orchestrator.ca. If you are not satisfied with our answer, you can contact the Office of the Information and Privacy Commissioner of Alberta or the Office of the Privacy Commissioner of Canada.
If you received an agenda
If someone sent you an agenda prepared with Agendic, we hold your name and email address because you were invited to their meeting. You can ask us what we hold, or ask us to remove it, at info@orchestrator.ca.
Security
Information is encrypted while it travels and while it is stored. Access credentials are encrypted a second time, with AES-256, before they are stored, and the key is kept separately. Access to the systems that run Agendic is limited to the people who need it. No system is perfectly secure. If something goes wrong that affects you, we will tell you.
Age
Agendic is a tool for work and is not intended for anyone under 18.
Changes
When we change this policy we post the new version here and change the date at the top. If a change is significant, we tell you by email before it takes effect.
